Job Title: Project Coordinator

Salary Range: $40,000-55,000

Reports To: Operations Director

Job Purpose:

This position provides critical support to the team for all work output and deliverables related to our clients and internal projects. The Project Coordinator supports the Operations team to help ensure that work is completed within established processes, timeframes and budgets. The ideal candidate for this position should have strong organizational and communication skills, be detail-oriented, and be able to work effectively under pressure to meet tight deadlines. They should also have a solid understanding of project management methodologies and tools, as well as experience working in a fast-paced marketing agency environment.

Essential Functions

  • Support creation and management of project schedules and timelines, ensuring that all tasks are completed on time and within budget.
  • Coordinate project workflow between various teams, ensuring that all departments are aware of project timelines and requirements.
  • Serve as the primary point of contact to assigned clients with responsibility for timely communication and coordination while supported by a leadership team account sponsor.
  • Provide billing assistance in the form of generating invoices and maintaining billing forecast documents.
  • Work closely with leadership to ensure that all project milestones are met and that projects are completed on time.
  • Review briefs and project specifications to ensure that all requirements are clearly defined and understood by all team members.
  • Ensure that all project files and assets are organized and accessible to team members as needed.
  • Track project budgets and expenses, ensuring that projects are completed within the allocated budget.
  • Help to facilitate communication between team members, clients, and vendors, ensuring that all parties are informed of project progress and status.
  • Contribute to identifying and resolving issues that arise during the course of a project.
  • Monitor project performance and provide regular updates to leadership.
  • Continuously assess and improve project workflows and processes to ensure maximum efficiency and effectiveness.

Qualifications

  • Minimum 2 years of proven project management experience. Candidates with marketing and/or agency experience will be given priority review.
  • Bachelor’s degree, a concentration in marketing or business or project management certifications are preferred.
  • Experience and knowledge in successfully managing marketing strategies and projects including advertising campaigns, paid media, digital marketing, collateral development, public relations, landing pages and websites.
  • Proficient ability to coordinate, communicate, and manage multiple simultaneous projects in a fast-paced, collaborative, team environment while meeting deadlines and staying on budget.
  • Exhibit outstanding organization and attention to detail.
  • Demonstrated ability to effectively manage resources with streamlined processes and project management software.
  • Superior interpersonal, verbal and written skills.
  • Self-motivation with strong analytical, problem solving, and decision-making skills.
  • Stay on top of best practices for management and organization.
  • Proficient with Microsoft Office Suite, as well as experience with project management and hours-tracking software platforms.
