Associate Project Manager

Job Purpose:

This position provides critical daily support to the team for all work output and deliverables related to our clients as well as internal projects and initiatives. The Associate Project Manager supports the company leadership to help ensure that work is completed within established processes, timeframes and budgets. This role manages communication with clients, with an approximate split of 35-40% account management and 60-65% project management duties. The ideal candidate for this position should have exceptional organizational and communication skills, be highly detail-oriented, and establish and help the team meet specific deadlines. The Associate Project Manager must have a solid understanding of project management methodologies and tools, as well as experience working in a fast-paced marketing agency environment.

Essential Functions

  • Support creation and management of internal and external project schedules and timelines, ensuring that all tasks across departments are completed on time and within budget.
  • Work closely with company leadership to ensure that all internal and external project milestones are met and that projects are completed on time.
  • Coordinate and manage project workflows between various teams, ensuring that all departments are aware of project timelines and requirements.
  • Serve as the primary point of contact to clients with responsibility for timely communication and coordination while supported by a leadership-level account sponsor.
  • Set up project briefs with clearly defined project information and requirements, as well as lead internal and external project kick-off meetings to ensure understanding across the team and clients.
  • Draft Statements of Work outlining key project deliverables, assumptions, and client responsibilities.
  • Provide billing assistance in the form of generating invoices, submitting expense reimbursements, and maintaining billing forecast documents.
  • Ensure that all project files and assets are organized and accessible to team members as needed.
  • Track project budgets and expenses, ensuring that projects are completed within the allocated budget.
  • Lead communication between team members, clients, and vendors, ensuring that all parties are informed of project progress and status.
  • Contribute to identifying and resolving issues that arise during the course of a project.
  • Assist in monitoring project performance and provide regular updates in the form of metrics and reporting to project managers and other stakeholders.
  • Continuously assess and improve project workflows and processes to ensure maximum efficiency and effectiveness.

 

Qualifications

  • Minimum 5 years of proven project management and client service experience. Candidates with marketing and/or agency experience will be given priority review.
  • Bachelor’s degree, a concentration in marketing or business or project management certifications are preferred.
  • Experience and knowledge in successfully managing marketing strategies and projects including advertising campaigns, paid media, digital marketing, collateral development, public relations, landing pages and websites.
  • Proficient ability to coordinate, communicate, and manage multiple simultaneous projects in a fast-paced, collaborative, team environment while meeting deadlines and staying on budget.
  • Exhibit outstanding organization and attention to detail.
  • Demonstrated ability to effectively manage resources with streamlined processes and project management software.
  • Superior interpersonal, verbal and written skills.
  • Self-motivation with strong analytical, problem solving, and decision-making skills.
  • Stay on top of best practices for management and organization.
  • Proficient with Google Products, Microsoft Office Suite, and AI-based tools, as well as experience with project management and hours-tracking software platforms.
